OFFICE TEAM LEADER

Main purpose of the job
The Office Team Leader is responsible for leading the team of Team Assistants and the Receptionist, ensuring smooth coordination of reception services and other office management activities.
In addition, the Office Team Leader provides clerical support to senior managers, including calendar management, and works closely with the Office Manager on HUB-related tasks.
More specifically, you will be trusted to:
Office & Administrative Support
- Manage daily office tasks: answering calls, handling emails, welcoming guests, and keeping office supplies stocked.
- Help organize internal/external meetings, company events, and team-building activities.
- Assist with presentations, reports, and general office coordination (e.g. inventory checks, car fleet management).
Support to Senior Managers
- Prepare travel claims, expense reports, and support with invoices and orders.
- Manage calendars, schedule meetings, and handle document signatures (including notarized ones).
- Respond to ad hoc requests and provide general clerical support.
Travel & Logistics
- Arrange travel and accommodation for the HUB team, including visa support and expense tracking, following company policies.
Accounting & Purchasing Support
- Work with the accounting team to process purchase orders, check invoices, and maintain records.
- Collect and file travel expense forms and ensure proper documentation.
Team Leadership
- Lead and support the assistant and receptionist team, ensuring tasks are well distributed and service standards are met.
- Support recruitment and performance reviews for the team.
HR & Office Coordination
- Track attendance and absences, support onboarding for new joiners, and manage meal voucher distribution.
- Assist with travel arrangements for expats and leavers.
- Help maintain office plans, fixed assets inventory, and coordinate health & safety training.
Do you have what it takes?
- Secondary school education as minimum
- 5+ years of proven experience in administrative roles
- 2+ years of proven experience as a team leader
- Proficiency in Czech, English (B1 level)
- Strong organizational skills
- Good PC knowledge (MS office, SAP)
- Minimum 3 years’ experience in an international company
- Driving license B is an advantage
